Administrative Coordinator to Senior Management
30 hours/ week

Reporting to the Operations Manager and serving as a member of the Administrative Team, this position’s primary responsibility is to be a core support to the Operations Manager and Executive Director.

Responsibilities:

  • Respond to telephone or in-person general programs and service inquiries and provide referrals as needed
  • Manage our client and fundraising databases
  • Provide leadership and support to the Health and Safety Team
  • Support Performance Management and Quality Improvement Initiatives
  • Trouble shooting technological issues within the office and assisting staff as needed
  • Create and maintain an environment whereby actual and potential volunteers, clients, employees, and community stakeholders have a positive experience with CMOW
  • Support to Resource Development Board Committee
  • Preparation of various materials including; correspondence, agendas, presentations, work plans, and reports in preparation for internal meetings, as well as external stakeholders
  • Entering, exporting, compiling and organizing statistical data for further analysis by management team
  • Posting approved messages, pictures and information for effective communication, promotion, and marketing
  • Managing CMOW’s community engagement calendar and ensures personnel, committees/ workgroups are aware and apprised of upcoming commitments

Preferred Qualifications & Experience:

  • Experience working in an administrative capacity preferably within a charitable/non-profit organization, or an equivalent combination of education, training and experience.
  • Proficiency and comfort with various software programs such as MS Office Suite (Work, Excel, and PowerPoint, Outlook and Publisher) and database platforms
  • Demonstrated exceptional verbal and written communication skills
  • Excellent organizational and time management skills and able to prioritize
  • A high degree of initiative, resourcefulness and critical thinking skills
  • Ability to handle people and proprietary information with sensitivity, confidentiality and diplomacy
  • Ability to work efficiently under pressure and against deadlines
  • Creativity, design, marketing and advertising skills is an asset
  • Collaborative team player with effective and professional interpersonal skills and the ability to contribute to a positive team environment.
  • Available to work occasional evenings and weekends

Program Assistant
21 hours/ week

Reports to the Client and Volunteer Services Supervisor and is responsible for supporting the successful operation of Caledon Meals on Wheels client and volunteer programs and services.

Responsibilities:

  • Assist with the recruitment, selection, screening and training of volunteers
  • Provide support to volunteers as needed and forward emerging issues or concerns to Program Coordinator/Supervisor
  • Preparation and maintenance of the volunteer driver schedule for delivery of meals
  • Conduct reminder calls/emails to volunteer drivers prior to their shift
  • Ensure that clients who are not home for meal delivery are contacted to assure safety
  • Assist with Meals on Wheels, Project Lifesaver, Friendly Visiting programs as needed both on and off-site
  • Create and maintain an environment whereby actual and potential volunteers, clients, and community stakeholders have a positive experience with CMOW
  • Deliver meals in Caledon, Orangeville and surrounding areas when required
  • Participate in and support CMOW events, outreach, and fundraising activities as required
  • Maintain contact and ongoing liaison with appropriate outside agencies as needed
  • Participate on Health and Safety Team /support agency in maintaining health and safety standards
  • Respond to telephone or in-person general programs and service inquiries and provide referrals as needed
  • Enter client and volunteer registration forms and service data/ statistics into database
  • Support Client and Volunteer Services Supervisor with general office administration as required
  • Other related duties as required

Preferred Qualifications & Experience:

  • Minimum 2 years of related work experience; preferably in Community or Health Services environment
  • Strong verbal and written communication skills
  • Excellent interpersonal skills
  • Demonstrated success in working as part of a team
  • Strong knowledge and comfort with computers, MSOffice and other software/ database applications
  • Organized, ability to multi-task, detail oriented and prioritizes to meet deadlines
  • Ability to handle people and proprietary information with sensitivity, confidentiality and diplomacy
  • Experience working with seniors, volunteers and general public is an asset
  • Demonstrates initiative, creativity and enthusiasm
  • Regular/ daily access to a car and an acceptable drivers abstract may be required

Intern – Kitchen Assistant

The Caledon Meals on Wheels Kitchen Assistant will support the Kitchen Coordinator in preparing, cooking and packaging hot lunch-time meals for Seniors and people with disabilities, while maintaining a sanitary work environment. This opportunity will be located in Bolton. This position works collaboratively with the Meals on Wheels team including volunteers.

Responsibilities:

  • Assist in the preparation of meals and food items as required
  • Assist in the packaging of meals and packing of meal delivery bags
  • Dish washing duties
  • Maintain clean kitchen environment and delivery bags through daily sanitation practices and following regular and established maintenance procedures
  • Provide additional support to team as required
  • Participate in agency activities and promotions
  • Attend CMOW live and virtual events/meetings as required
  • Other duties as assigned

Preferred Qualifications & Experience:

  • Must meet the requirements of the Employment and Social Development Canada’s Youth Employment Program
  • Be legally entitled to work in Canada
  • Cannot be an immediate family member of a CMOW employee, director or officer.
  • Knowledge of commercial kitchen operations
  • Knowledge and skills in food safety, healthy cooking and nutrition.
  • Familiarity using a commercial dishwasher, ovens and stove tops, and cold storage
  • Ability to work with a team in a collaborative and efficient manner
  • Ability to work positively in a shared kitchen
  • Demonstrated knowledge and understanding of seniors’ issues
  • Commitment to equity and diversity
  • Experience or interest in working with culturally diverse communities
  • Strong communication skills.
  • Ability to lift and move boxes and equipment (up to 30lbs)

Intern – Program Assistant

The Caledon Meals on Wheels Program Assistant will support the planning and implementation and evaluation of program and service activities for Older Adults/ Seniors in Caledon, Brampton, and Orangeville.

Responsibilities:

  • Assist with the planning, implementing, facilitating and evaluation of CMOW programs and services including Seniors Social & Wellness programs, Hot and Frozen Meals on Wheels program, Friendly Visiting Program & Special Events.
  • Conduct outreach in seniors’ buildings and within the community to encourage participation in Caledon Meals on Wheels (CMOW) programs and services.
  • Support all aspects of the administration for the program (eg. intake, collection of statistics, monies and program reports) on a weekly basis.
  • Collaborate with CMOW program staff, volunteers, community partners when planning and implementing program activities.
  • Answer the telephone, direct calls; takes and relay messages; provide information and referral for CMOW clients and outside inquiries
  • Ensure that program activities operate within the policies and procedures of the organization
  • Attend CMOW live and virtual events/meetings as required
  • Other duties as assigned

Preferred Qualifications & Experience:

  • Must meet the requirements of the Canada Summer Jobs 2021
  • Be legally entitled to work in Canada
  • Cannot be an immediate family member of a CMOW employee, director or officer.
  • Demonstrated knowledge and understanding of seniors’ issues
  • Interest in learning more about planning and implementing of programs for Seniors/ Older Adults
  • Ability to work with computers including Windows, MS Office, etc.
  • Commitment to equity and diversity
  • Experience working with culturally diverse communities
  • Strong written and verbal communication skills.
  • Demonstrated enthusiasm and creativity
  • Experience with preparing and giving presentations, leading group activities
  • Due to the geography and the lack of public transit in Caledon use of a car is necessary
  • Experience in the sports field or passionate about healthy living and physical fitness. i.e.: participate in fitness classes or gym workouts would be an asset.
  • Some food safety, food preparation and nutrition knowledge may be helpful.
